1. Introduction
[Company Legal Name] (“Company,” “we,” “our,” or “us”) is committed to protecting user privacy through the design, development, and distribution of its artificial intelligence technologies.
This AI Model Privacy Policy establishes the Company’s data handling and privacy commitments concerning its officially released artificial intelligence models, experimental versions, and associated technologies.
Our official production releases operate under a Zero Data Retention Policy. Different data handling practices may apply to beta, experimental, research, testing, and third-party deployments, as described in this policy.
2. Zero Data Retention – Official Production Releases
All officially designated production releases of our AI models operate under a Zero Data Retention Policy.
For purposes of this policy, an “Official Production Release” means a generally available, production-ready version of an AI model expressly designated by the Company as an official production release.
Under this policy, the Company does not retain user-submitted information from qualifying official production inference operations after the processing necessary to generate the requested output has concluded.
This includes:
- User prompts and queries.
- AI-generated responses and outputs.
- Conversation histories.
- Uploaded documents and files.
- Images and other submitted media.
- Personal information included in prompts.
- User interaction histories.
- Other user-submitted content processed during inference.
Information submitted through official production releases is not retained by the Company’s qualifying model processing systems for model training, fine-tuning, profiling, advertising, or unrelated purposes.
Zero data retention applies to the model processing environment within the scope of the Company’s operational control and any expressly agreed contractual obligations.
3. No User Data Collection for Model Training
The Company does not use user prompts, conversations, uploaded files, or generated outputs from qualifying official production releases to train, fine-tune, or otherwise improve its AI models.
User-submitted information from these releases is not incorporated into model training datasets.
Model development, training, testing, and improvement are conducted independently of retained user conversations from qualifying official production releases.
Different arrangements may apply to beta, experimental, research, and testing versions, as described in Section 10.
4. No User Profiling or Behavioral Tracking
The Company does not use information submitted through qualifying official production releases to establish personal profiles, track individual users, or construct behavioral advertising profiles.
The Company does not maintain databases of user conversations or interaction histories through its qualifying official production inference operations.
The AI model is designed to provide requested outputs without requiring the Company to maintain persistent records of individual user interactions.
5. Temporary Processing
Zero data retention does not mean that information is never temporarily processed.
Information may be held temporarily in volatile memory or other transient processing environments to:
- Execute inference operations.
- Generate requested outputs.
- Maintain computational functionality.
- Facilitate the immediate delivery of responses.
Such temporary processing is necessary for the operation of the AI model and does not constitute authorization for persistent retention.
The Company does not retain the underlying user-submitted content after the inference operation has concluded within qualifying official production processing environments.
6. Third-Party Integration, Licensing, and Submodel Usage
Our AI models may be licensed, integrated, incorporated, or otherwise utilized by independent third parties as standalone models, component models, submodels, or parts of larger artificial intelligence systems.
Where our AI technology is used, hosted, operated, or integrated into a system managed by an independent third party, the Company’s Zero Data Retention Policy does not automatically extend to that third party’s infrastructure, systems, or data processing activities.
In such circumstances:
6.1 Independent Data Management
The third party responsible for managing, hosting, or operating the AI system determines its own data collection, processing, logging, storage, and retention practices.
6.2 No Guarantee of Third-Party Zero Retention
The Company cannot guarantee that information processed through third-party deployments will be subject to zero data retention, even when the underlying AI model is an official production release.
6.3 Third-Party Privacy Policies
Any data retention or privacy commitments applicable to such deployments are determined by the managing party and are subject to its own privacy policies, contractual obligations, and applicable laws.
6.4 Submodel and Component Usage
Where our AI technology operates as a submodel, component, inference layer, or processing element within another AI model, application, or software system, the managing party is responsible for determining how inputs, outputs, intermediate processing data, and associated records are handled.
6.5 Limited Operational Control
The Company does not control independent third-party infrastructure, data storage systems, logging mechanisms, or information management practices and therefore cannot guarantee data retention practices outside its operational control.
6.6 User Responsibility
Users accessing our AI technology through third-party platforms, integrations, applications, or services should consult the privacy policy and data retention disclosures of the relevant managing party to understand how their information is handled.
The Company’s zero-data-retention commitment remains applicable to qualifying official production deployments within the scope of the Company’s operational control and expressly agreed contractual obligations.
7. Beta, Experimental, and Testing Versions
The Zero Data Retention Policy does not automatically apply to beta, preview, experimental, research, development, or testing versions of our AI models.
These versions may collect, process, store, and retain user-submitted information, including:
- User prompts and queries.
- AI-generated responses and outputs.
- Conversation histories.
- Uploaded documents and files.
- Images and other submitted media.
- Technical usage information.
- Feedback and user interaction information.
Such collection and retention may be necessary for:
- Model development and improvement.
- Performance evaluation and benchmarking.
- Error detection and debugging.
- Quality assurance.
- Security testing.
- User feedback and product development.
- Research and experimentation.
Information collected through these versions may be used to train, fine-tune, evaluate, or improve our AI models, subject to applicable law and any additional disclosures or agreements governing the relevant release.
The Company may establish separate retention periods and data handling procedures for these versions.
Users will be informed when they are accessing a beta, experimental, or testing version that operates under different data retention practices.
8. Personal and Sensitive Information
Users should exercise appropriate care when submitting personal, confidential, or sensitive information to AI services.
Although qualifying official production releases operate under zero data retention, the Company does not guarantee that generated outputs will be accurate, complete, or suitable for every purpose.
Users should also consider any separate data handling practices of third-party platforms through which they access the model.
9. Information Security
The Company implements reasonable technical and organizational measures to protect official model processing environments and information under its control.
Such measures may include:
- Access restrictions.
- Infrastructure security controls.
- Encryption where appropriate.
- Network security.
- System integrity monitoring.
- Protection against unauthorized access.
The Company seeks to minimize the amount of information exposed to its infrastructure and personnel.
10. Policy Scope and Version Classification
This policy distinguishes between three principal deployment categories:
A. Official Production Releases
Generally available, production-ready AI models expressly designated by the Company as official production releases. These operate under the Zero Data Retention Policy within the scope described in this document.
B. Beta, Experimental, Research, and Testing Releases
Non-production versions of AI models that may collect, process, store, and retain information for development, testing, evaluation, research, and improvement purposes.
C. Third-Party Deployments and Integrations
AI models deployed, hosted, integrated, licensed, or utilized by independent third parties. Data handling practices for these deployments are determined by the managing party, subject to applicable law and contractual obligations.
The Company reserves the right to designate individual model versions and deployments according to their release status and applicable privacy commitments.
The applicable release designation and privacy disclosures govern the data handling practices for the version being accessed.
11. Legal and Regulatory Compliance
The Company may process or disclose information where required by applicable law, regulation, court order, or other legally binding obligation.
Any legally required processing or disclosure will be handled in accordance with applicable legal obligations.
Nothing in this policy excludes responsibilities that the Company may have under applicable data protection laws or contractual arrangements.
12. Changes to This Policy
The Company may update this policy to reflect changes in its AI infrastructure, deployment arrangements, technologies, or applicable legal requirements.
Material changes will be reflected in an updated version published through the Company’s official website.
The revised policy will include an updated effective or last-updated date.
